Councillor Letterhead

    Hi all

    We currently have a Corporate letterhead which is used by the CEO and staff in addition to a Mayoral letterhead.

    Letters of support are generally provided by the Mayor as Council’s official spokesperson for all Council matters under Council’s Media Policy however a Councillor has requested to write a letter of support in response to a community organisation request.

    We have sought and received advice from LGAQ that there is nothing in the LG Act that precludes a Councillor from providing written letters of support to community groups however there is a need to consider relevant internal policies etc.

    Do any other smaller Councils utilise a Councillor letterhead or have a policy/procedure for Councillor correspondence that they would be willing to share please?

    Hi Bridget

    At North Burnett, such type correspondences only go under cover of the Mayors Office letterhead, alternatively, if by delegation, then from the Office of the CEO. 

    We only ever deal with requests for Letters of support from Community Groups by seeking Council Resolution.

    At Bundaberg, the clause below is in our Expenses Reimbursement for Councillors Policy. Our Exec Team has only used the letterhead for letters of support and letters of appreciation. 

    3.6 Stationery

    Councillors are provided with Council stationery for Council business. Council stationery (such as letterhead) is not to be converted or modified in any way and may only be used for carrying out the functions of the role of Councillor. Stationery does not include any form of advertising or promotional material produced by Council.
